Pace Equipment Requests

To enter equipment request please go to help.pace.edu. Go to request on the top of the page. Click the drop down menu next to Request Type, select Information Technology, Educational Media, Special Events Equipment Form, and the Ed Media location for your campus. Please note that this is only for equipment orders; you must have the location reserved by visiting events.pace.edu and selecting Request an Event from the menu on the left. Unfortunately we cannot book an Ed Media order until that portion is completed. Please note that a notice of one day is required for all events to ensure equipment and staff availability.

Pace Classroom Support

There is no charge for any equipment setup or delivery to a classroom on a Pace campus. If a staff member is required to stay and operate equipment a charge may be incurred. Most classrooms have equipment preinstalled and if not it can be delivered Please see the Educational Media Order Forms page for more details.

Internal/Co-Sponsored Events

All events of this nature will be setup and picked up at no charge with some limitations. Educational Media has some standard setups; examples are listed below (these can be changed to fit the requestor’s needs):

  • Computer, Projector, Screen,
  • Microphone, Sound System
  • DVD/VHS, Projector, Screen, Sound System
  • Video Conferencing
  • Echo360 Lecture Recording

Internal and Co-Sponsored Events will not be charged,as long as a Pace Budget Number is provided for billing, between the following hours (Educational Media Office Hours):

  • Monday – Thursday: 8:00am-10pm
  • Friday: 8:00am-5:00pm

Charges will occur during the following hours:

  • Monday – Thursday: Before 8:00am & after 10:00pm
  • Friday: Before 8:00am & after 5:00pm
  • Saturday & Sunday: All day

Webcasts and recordings are types of events that will require staff on site and incur a charge. A staff member is required to stay for all webcasts, and recordings can have a staff member operate the camera if requested.

Any internal or co-sponsored that does incur a charge will require an internal budget number and the authorization of the person responsible for that budget.

Technician support will be billed at $20/hr for events requiring staff present at the event, or events outside of regular office hours. There is only a charge for the staff time and not for the equipment.

Cancellations require at least one business day’s notice. Failure to do so will result in a $40 cancellation fee.

Any event that ends after the scheduled end time will be billed double the charge for the setup; barring extenuating circumstances.

Third Part Events

Any external group that is not co-sponsored by an organization within the university is classified as a 3rd party event. Technician support is $50/hour and a minimum of one hour must be billed for any event. 3rd party events also follow a different billing structure for equipment which is listed in the table at the bottom of the page.

Recording, Editing, and Media Capture

Educational Media in Pleasantville is piloting a new Recording and Editing service for Faculty/Staff and student organizations. Capturing and duplication services are also available for many types of media. Educational Media will not duplicate copyrighted materials without proof of permission from the copyright holder.
