Special Events Implements Resource 25 (R25) Across the University
Academic Scheduling and the Office of University Special Events are in the process of implementing Resource 25 (R25), a centralized event and academic space scheduling system, across the university.
The new and improved system will act as a central repository of all classes/events that are to be promoted and planned, and serve as a scheduling and marketing tool for University Relations, OSA, faculty, students, and facilities management staff. A key benefit will be the ability to view ALL campus events including academic and non-academic events to avoid double-booking and then be able to promote scheduled events onto a master web calendar that can also be made available across the Pace University public web site and Luminis portal sites.
Effective May 4, 2009, the Office of University Special Events and the Office of Academic Scheduling will be operating solely in the new R25 system. Other key stake holders of the system – Pace Law School, Facilities Management, Campus and Student Activities, Cultural Affairs, Educational Media, Security and Lackmann will be trained over the next few months and operating in the new system late summer.
What does this mean for you?
Starting on May 4,2009, Special Events will no longer utilize the Space Reservation Forms you currently fill out and fax/email to our office for your events. During the interim period (May 4 until June ) we ask that you email your event requests and enter your event criteria in the body of your email.
Our event planning staff will review your request and you will receive a request confirmation. Provided there are no conflicts with the requested event/space, you will then receive an event confirmation (generated from R25) which will detail all of the aspects of your event (catering, B&G set ups, security, etc.). For the interim, you will continue to work with the Ed Media department directly for AV requests. Please be aware, you will still be required to provide a PO number if you’re event has catering needs.

Communications informing the community of the Webviewer launch will be sent out in early June.
The R25 WebViewer is a software application that will serve as the master calendar by accessing the R25 events database and will allow users (on the internet) to:
- View event information online.
- Learn which events are current and view featured news and announcements.
- Request spaces, resources, and requirements for an event and track the progress of their request.
- View and act on tasks in their R25 workflow.
- Track events of personal interest in their own calendar.
