Due to the sustained challenging economic environment and the corresponding fiscal constraints placed on the University, moving forward a nominal fee will be assessed for all co-sponsored events held at the University. Currently any outside entity reserving event space at the University is charged $300-$30,000 for their event. In recognition of the stated mission of co-sponsored events, any event co-sponsored by Pace administrative offices or academic departments with external (non-Pace) organizations (regardless of profit, non-profit, or faculty/staff association with academic societies) will be offered a 70% discount off the current room rental. Please note: Any department or office that has already reserved space and received event confirmation prior to the date of this letter, will not be charged the space rental fee.
The following new procedures for co-sponsored events have been put in place effective March 15, 2011:
- The co-sponsored event policy and application process has been redesigned and fully automated
- The event requestor from the internal University department can complete the new application on-line (co-sponsored event application and policy document).
- Once the application is submitted, it will be electronically routed to the relevant authorized University official (Dean or Vice President). At this time, the fee for the co-sponsored event will be indicated (30% of the stated fee schedule)
This change in policy was implemented after a careful and comprehensive review of the current co-sponsored events policy and significant benchmarking with other universities and colleges in the Northeast. It is my hope that you view it as an equitable balancing of both the needs of the individual academic departments and offices as well as the University’s as a whole.
The University Special Events department looks forward to a continued partnership with the academic departments and offices in sponsoring and planning many successful co-sponsored events in the future. We will continue to provide the appropriate venue and support services and remain committed to assisting you in accomplishing your goals.
