Preferred First Name Procedure
Pace University recognizes that as a community many of our members use names other than their legal names to identify themselves. As such, in line with Pace University’s non-discrimination policy on the basis of gender identity and congruent with our commitment to equity for all students, Pace allows students to use a preferred name and preferred salutation within certain campus systems whether or not they have legally changed their name.
In order to initiate this process, a student must fill out a General Change/ Name Change Form and indicate their preferred name. Additionally, individuals areable to select the salutation of their choice. Inappropriate use of the preferred name policy (including but not limited to avoiding a legal obligation or misrepresentation) may be cause for denying the request.
Areas that are unable to use a preferred name will require the student to bring in the appropriate documentation delineating a legal change. Pace Campus ID (not the credit card): Preferred Name can be used on a non-credit/debit card Pace ID.
The Pace Higher OneCard: The first name on the Higher One Charge does not change by filling out the Name Change Form. To inquire about using a prefered first name on your Higher One Card contact Auxiliary Services.
Res Life ID Card/Dorm Plaque: A preferred name may be used on a housing ID and door plaque. By filling out the Change Form, the use of your preferred name will be communicated to the Residential Life Department. Additionally, when filling out your housing application, be sure to indicate the desired use of a preferred name. - A student’s preferred name will be displayed on any e-mail correspondence regardless of the student’s alphanumeric e-mail address.
- The actual email address will remain the same, for example: email@example.com
- You may select Mr./Ms./Miss/Mrs. or leave blank the salutation in accordance with your gender identity.
A student’s preferred name will be the first name that appears within the Blackboard system. Therefore, class rosters and gradebooks accessed within Blackboard will contain the preferred first name. Additionally, the name that displays on BlackBoard class discussions will be the preferred name.
However, Class Rosters and Grade Rosters that are used by faculty from the Banner self-service application will contain the legal first name.
The use of a preferred name will not have a direct impact on Library services. The student’s U# is the primary means through which students receive a library card, and are assessed for any fines. There is only a barcode on each library card, a name does not appear.
Diploma and Graduation
The first name on the diploma must be identical to the name currently on the student’s official academic record (generally their legal first name, middle name, last name).
A student may change the name on their academic record by submitting the General Change Form along with documented proof (see form for acceptable documents) to the Office of Student Assistance.
In some cases, students want to add a special character to their name such as a tilde (~), an umlaut (¨), or an accent (´) or a suffix. Legal Documentation is not required for these types of changes. It is the student’s responsibility to verify that the name listed is correct, or to provide any changes required.
At Graduation, students fill out and present a name card to the individual’s announcing student names at the graduation ceremony. You may indicate a preferred name to have read at the ceremony.
The name displayed in Degree Works will match the student’s name as currently on the student’s official academic record (generally their legal first name, middle name, last name). A student may change the name on their academic record by submitting the General Change Form along with documented proof (see form acceptable documents) to the Office of Student Assistance.
Pace is unable to guarantee the use of the preferred name for campus mailings. Please note that there are two predominant methods of communication to students. One is postal mailings that use the mailing address data from our Student Information System (Banner) that student’s provided the University.
The group that is requesting a mailing can specify preferred first name and this will then be used with the address. The other method is email. Currently, our email system and our student look-up tools are using the preferred first name.
To accommodate the importance of the use of the preferred name while the policy is ironed out, we will continue to do outreach throughout the community on the importance of using the preferred name.
