HR Works for You! Project Updates

Pace has partnered with UKG (formerly known as Kronos) to implement a fully integrated single-source platform that will replace all HR and Payroll related systems including, but not limited to: PeopleAdmin Applicant Tracking and Onboarding, Payment Action, Separation, Merit Processing, Kronos Timekeeping, ADP Services, and Performance Management and Development Process.

Benefits include:

  • One system! Delivers a single-source Human Resources, Onboarding, and Payroll self-service solution, ensuring transparency via a personalized and people-centered experience.
  • Simplified, fully integrated onboarding process.
  • Employee engagement through self-service functionality to allow employees direct access to their own data.

Important Project Dates

Phase 1: Recruitment and Onboarding went live on August 1.

Phase 2: The following modules went live on January 1, 2024:

  • Time (replacing Kronos)
    What does this mean? This new platform will replace Kronos, for entering employee work time and requesting time off.
    Who does it impact? All staff and student employees along with their timesheet approvers. Please read important information about New Timesheet Compliance Requirement for non-exempt employees (PDF).
    Advantages: Access from Mobile app, seamless time off request process that will update timecard upon approval. VPN access no longer required.
  • Employee and Manager Self-Service Dashboards
    What does this mean? Employees will be able to access their pay stubs and make changes to their personal information including direct deposit, address and more via this module.
    Who does it impact? All employees.
    Advantages: Provides the ability to submit requests within one central system, replacing the various employee self-service systems used today.
  • HR and Benefits
    What does this mean? The following systems will be replaced with this module: Payment Actions, Separations, and Benefits Open Enrollment.
    Who does it impact? All employees.
    Advantages: All HR-related activities will be handled in one central location rather than several separate systems.

  • UKG Ready is a secure cloud-based solution accessible both within the University and from any home or mobile device.

  • Yes, UKG Ready Time will store all your time off accruals and will allow you to request time off within the system, and will have a workflow approval for your manager to approve, which will automatically update your timesheet and accrual balance.

  • No, employees will not have to enter data from legacy systems to UKG Ready. All data will be converted systemically for go-live.

  • Yes. Every Pace employee will have a UKG Ready dashboard configured based on the type of your employee or manager role.

  • Yes. Every Pace employee will have a UKG Ready dashboard configured based on the type of your employee or manager role.

  • UKG Ready provides a user-friendly dashboard that allows all employees to manage their personal and payroll related data, which is updated in real time.

  • Yes. You will have access to pay statements beginning with the first payroll in 2024 and future.

  • Yes. If you manage people, your UKG Ready dashboard will include not only your employee related information, but also all pertinent information related to all employees you manage.

  • This new HR system will replace the following, but not limited to, HR and Payroll related applications:

    PeopleAdmin Applicant Tracking and Onboarding, Payment Action, Separation, Merit Processing, Kronos Timekeeping, ADP Services, and Performance Management and Development Process.

  • No, Banner will remain. Only HR and Payroll related activities will take place in the UKG Ready system.

  • Yes. Your Smartphone's app store (Apple App Store, or Google Play store) will have the UKG Ready app.

  • Yes, one of the many benefits of this new system is the ability for hiring managers to login and view where their new hire is within the hiring process. The system offers full transparency.

  • We will be utilizing a phased approach for implementation. The first phase will focus on replacing PeopleAdmin, which includes position descriptions, job postings and onboarding. This first phase will be completed by end of Summer 2023.

    The second phase will focus on implementing timekeeping (replacing Kronos), benefits enrollment for new hires and open enrollment and payroll. The goal is to have the full suite implemented by January 2024.

  • Yes, training will be provided via several different mediums including training videos, documentation and in person/webinar training classes. More information on the training schedule will be communicated in the coming months.

  • The Recruitment and Onboarding modules of the UKG Ready system will become available on Tuesday, August 1, 2023. On that date, previous PeopleAdmin users will have access to begin modifying and posting positions.

  • Please submit a ticket to FIS@pace.edu with a cc’ to your Budget Representative as their approval is required.

  • No, all approval workflows will remain the same. Please refer to the Training User guides that will be made available on the UKG Ready homepage on Tuesday, August 1, 2023.

  • Yes, to ease the transition, FT Faculty, Adjunct and Student templates have been created in UKG Ready. For Full-Time and Part-Time staff, the most recent position descriptions have been migrated to the system
